District introduces system for digital hall management
View hall bookings online, book times digitally: The district of Waldeck-Frankenberg has been using a new online platform for the administration of the district's own sports halls for some time now. This offers clubs and sports groups an improved service.
The boards of the clubs and sports groups that use the district's own halls have already received online access data for the new system - and can now digitally view the sports hall bookings and book hall times. To do this, each club or group has access to its own previously agreed hall times. Booked times of other users are displayed, but cannot be viewed or edited. Another particular advantage of the new system is that clubs can create their own contacts. These people can book hall times in the name of the club or, if required, be given read-only rights.
Information and bookings with just a few clicks
"The entire process is now much more structured, as booking enquiries are handled centrally by the board members. All relevant information for the administration is requested for each enquiry, which in many cases makes queries superfluous," says Carsten Habermann from the Sports and Youth Work Department, explaining the system. "In addition, groups are automatically informed at the click of a button, for example when sports halls are closed for events." Caretakers and secretaries also have access to the system and can view the current occupancy of the sports halls relevant to them at any time. Another useful function is the option for clubs to report damage or defects in the sports halls directly online via the system.
Interface to the AirKey locking system planned
There are also plans to programme an interface between the AirKey electronic locking system, which the district has been using for several years, and the new platform in the future. When a hall time is approved in the online platform, the AirKey authorisation is then automatically issued to the trainer, who can then open the hall doors quickly and easily using their smartphone.
Increased efficiency and improved service
"The modernisation of the sports hall administration represents an important step towards increasing efficiency and improving the service for everyone involved," explains District Administrator Jürgen van der Horst. "I am delighted that we can now offer clubs and sports groups in the district real added value. This is a further step towards making the district fit for the future and offering our citizens a modern service."
